Administrative Assistant, Finance Team

This position reports to the finance department supervisor and provides clerical and administrative support to the Finance, Data, and IT Team. This role is responsible to provide accounting support by creating and maintaining spreadsheets and pivot tables to filter financial data. This role provides support in maintaining expense reimbursement records, as well as donation counting and record-keeping. This position is responsible for all inventory, ordering, and distribution of office supplies throughout the mission

(Job Responsibilities)

·       Communication: Departmental voicemail, email, and all-staff email communications

·       Correspondence: Letters, mail merges, thank-you notes, donation receipts

·       Calendars: Schedule appointments, and handle out of office messaging

·       Meetings: Provide agendas and minutes

·       Mail: incoming, outgoing, and internal distribution of all mail

·       Office supplies: inventory, order, distribute, and maintain financial records

·       Amazon purchasing and wish list program

·       Accounting Support: Credit card statements, mail vendor checks, scan invoices, track PO’s and expense reimbursements, sales tax exemptions, produce financial spreadsheets and provide data reporting

·       Assist with donation counting and recording

·       Handle various daily, weekly, monthly reports as directed 

 

Bring your strengths:

(Job Requirements)

·       3 years of administrative assistant experience, with finance focus preferred

·       Proficiency in use of financial technology platforms, or ability to learn

·       Proficient with Microsoft Office Suite

·       Skilled at data entry, and in creating reports and spreadsheets   

·       Excellent written and verbal communication skills, grammar, and business writing

·       Ability to type minimum 45 WPM

·       Models professionalism, in appearance, demeanor, decision-making, speech

 

 Working Conditions:

 

·       Regular standing, walking, climbing, crouching, bending, pushing, or pulling

·       Understand, speak, read, and write fluent English

·       Ability to communicate verbally and to accurately hear, with hearing correction

·       Ability to see 20/20, with vision correction

·       Able to lift up to 35 pounds occasionally, and up to 20 pounds regularly

·       Able to use fine motor hand functions

·       Frequently exposed to varying temperatures from below 32 degrees to above 80 degrees
