Summary of the Role

The HR Assistant (HRA) plays a vital role in supporting all Human Resource efforts. This role works under the direction of the VP of HR, and in collaboration with the entire HR team to provide organizational and operational support for pre-employment activities as well as our robust company onboarding training. This role leads and manages our staff appreciation program, wellness program, and our exit interview program. This position serves as our backup person for payroll processing. This role maintains a large database of information, and supports our current and future grant efforts by providing pertinent information to our grants team.

Job Plan


          Training and Recruiting Support

·       Schedule / conduct pre-employment meetings (paperwork, background checks, drug tests).

·       Schedule all training activities, including onboarding, recurring trainings, certifications.

·       Maintain communication with presenters, attendees, and department leaders.

·       Maintain database of all training activities, attendance, and certifications.

·       Ensure all necessary materials are present for PE and trainings.

·       Submit all new hire set-up forms, and ensure all is ready for new hire first day at work.

·       Manage employee parking program.

 

Staff Appreciation & Wellness Programs

·       Provide information and marketing for all wellness events, provide survey feedback following these events, make recommendations for future events

·       Provide gift bags for new hire orientations.

·       Produce and secure signatures on service anniversary certificates.

·       Secure leadership signatures on staff birthday cards to mail the week of the birthday

·       Monitor and encourage the use of the High Five Peer Recognition Program, publishing nominations and assisting in monthly drawing at our all-staff meetings.

·       Provide enthusiastic staff appreciation explanation at new hire orientation, and provide new hires with a short tour of MTM.

·       Assist with monthly HR announcements at all staff meetings, providing all materials.

·       Provide staff engagement surveys and reports.

 

Exit Interview Program

·       Provide exit interviews for all separated staff, enter data into survey model.

·       Provide quarterly and annual exit interview reporting, as well as ad hoc reporting when indicated.

·       Provide recommendations for solutions to trends discovered during exit interviews.

 

Organizational Support

·       Manage training, meeting, and other calendars.

·       Ensure all meetings and events are set up and well-executed.

·       Maintain HR Information Center on SharePoint.

·       Provide attendee feedback surveys all trainings.

·       Maintain stock of all HR supplies (pre-employment, orientation, appreciation, training)

·       Provide drafts and edits for policy/procedure/process documents, employment documents, job descriptions, and training print pieces.

 

Qualifications

·       Team-oriented, eager contributor with a positive, solution-oriented work style

·       Models professionalism, in appearance, demeanor, decision-making, and speech

·       Prefer minimum 2 years of training, recruiting, administrative, or other HR experience

·       Proficient with Microsoft Office Suite, particularly Outlook, SharePoint, PowerPoint, Excel

·       Skilled at producing reports quickly with attention to detail

·       Skilled at managing Outlook calendar schedules

·       Excellent written and verbal communication skills, including business writing

 

 

Working Conditions

·       Regular standing, walking, climbing, crouching, bending, pushing, or pulling

·       Understand, speak, read, and write fluent English

·       Ability to communicate verbally and to accurately hear, with hearing correction

·       Ability to see 20/20, with vision correction

·       Able to lift up to 20 pounds regularly

·       Able to use fine motor hand functions

·       Frequently exposed to varying temperatures from below 32 degrees to above 80 degrees
